Use the Export submenu of commands (from the File menu) to create (or view) text files or CSV files* which contain today's schedule, a range of schedules, or an alphabetical list of all items in your TimeTo™ schedule.
*What is a CSV file? CSV stands for “Comma Separated Values,” so a CSV file is a text file that has a comma between every item of information it contains. CSV file names typically end in ".csv". The first row of a CSV file typically is a "header row" containing the names of each information item that appear in the other rows.
The resulting file is located in the folder containing the TimeTo program (typically the "c:\program files (x86)\TimeTo" folder ...or, if the operating system of your computer is the 32-bit version of Windows 7 or or the 32-bit version of Windows Vista or Windows XP then perhaps folder "c:\Program Files\TimeTo").
Tip: Filters and Hide Done Items affect which items are exported, so you have the flexibility of setting filters before using the command, thus having substantial further control over what items are included in the export file.
Export Appointments to Outlook or Google Calendar: Today: Creates an export file of all non-recurring appointments on today's schedule, ready for import into Microsoft Outlook.
Tip: You may prefer instead to use the Synchronization with Outlook feature, which synchronizes with TimeTo™ in real time.
To import the resulting TimeToApptsToOutlook.csv (or TimeToApptsToOutlook.txt, if you chose .txt format instead of .csv format) file into Outlook, do this: (these instructions are for Outlook 2003 English edition, so wording may vary for other Outlook versions and language editions)
- Choose the Import And Export command (from the File menu).
- Highlight the Import From Another Program Or File option, then click Next.
- Highlight the "Tab Separated Values (Windows)" choice or the "Comma Separated Values (Windows)" choice (depending on which you chose in TimeTo™), then click Next.
- Set the File To Import to c:\Program Files\TimeTo\TimeToApptsToOutlook.txt (or .csv if comma separated) (assuming your TimeTo™ folder is "c:\program files\TimeTo"), choose Options as you see fit, then click Next.
- Set the Select Destination Folder to Calendar, then click Next.
- Check the checkbox if unchecked, then click Finish.
- At this point, you should see a dialog box indicating that the import is occurring. (If instead you see a dialog box requesting that you make choices regarding mapping fields, exit the Import and Export command and start again: in our experience, if this dialog box wrongly appears then it only appears the first time through the sequence and in the future it will correctly not appear. There is no need to map fields, as TimeTo has already optimized the mapped to work with the default.)
Export Appointments to Outlook or Google Calendar: Range of Days: Use this command just like Export Appointments To Outlook Or Google: Today, except in TimeTo™ you get to specify a range of days to include.Export Tasks to Outlook: Today: Creates an export file of all non-recurring non-appointments on today's schedule, ready for import into Microsoft Outlook.
To import the resulting TimeToTasksToOutlook.txt file file into Outlook (these instructions are for Outlook 2003: wording may vary slightly for other Outlook versions and language editions):
- Choose the Import And Export command (from the File menu).
- Highlight the Import From Another Program Or File, then click Next.
- Highlight the "Tab Separated Values (Windows)", then click Next.
- Set the File To Import to "c:\Program Files\TimeTo\TimeToTasksToOutlook.txt" (assuming your TimeTo™ folder is "c:\program files\TimeTo"), choose Options as you see fit, then click Next.
- Set the Select Destination Folder to Tasks, then click Next.
- Check the checkbox if unchecked, then click Finish.
- At this point, you should see a dialog box indicating that the import is occurring. (If instead you see a dialog box requesting that you make choices regarding mapping fields, exit the Import and Export command and start again: in our experience, if this dialog box wrongly appears then it only appears the first time through the sequence and in the future it will correctly not appear. Export Tasks to Outlook: Range of Days: This command behaves just like the Export Tasks To Outlook: Today command, except in TimeTo™ you get to specify a range of days to include.Export Day View: Today: Yields the file export.txt containing a list very much like the Day View for today. Any commentary in the file is contained in rows which begin with three asterisks (***) that can signal other software to ignore such rows when importing.
Export Day View: Range of Days: Yields the file export.txt containing a list including the contents of the Day Views for each day in the date range you specify. Any commentary in the file is contained in rows which begin with three asterisks (***) that can signal other software to ignore such rows when importing.
Export Alphabetical View: Yields the file export.txt containing an alphabetical list of all undone items, very much like what you would view on the Alphabetical View (from the View menu). Any commentary in the file is contained in rows which begin with three asterisks (***) that can signal other software to ignore such rows when importing.
View Export File: View the export.txt file that resulted from the most recent Export Day View or Export Alphabetical View, in your default text editor (such as Microsoft Notepad).
Note for users of non-English language versions of Microsoft Outlook™: If you are using a version of Microsoft Outlook whose interface is a language other than English, you may run into trouble importing from the file that TimeTo™ generates. If you do, please contact timetosupport@davidberman.com so that we can try to help out.
Note on date formats: The file that TimeTo creates includes dates in the date format you have specified in Microsoft Windows control panel called Regional And Language Options, in the control panel's Short Date field. All date formats that TimeTo writes are compatible with Outlook's import format.
Note on Reminder Times in Outlook: Since Outlook cannot store a Reminder Time that begins after the start time for an appointment, TimeTo items that have an alarm that would begin later than the start time result in an Outlook item whose Reminder Time is set to the Start Time of the item.
Note on Show Time As field in Outlook: The resulting item in Outlook will have it Show Time As field set to "Busy".

One-time setup for Palm devices: Install Microsoft Outlook. Configure your Palm Desktop software to HotSync with Microsoft Outlook instead of Palm Desktop.
As often as you wish: Use the Export Appointments to Outlook or Google Calendar and/or Export Tasks to Outlook procedure described above to export your TimeTo™ appointments and/or tasks to Microsoft Outlook's Calendar and/or Tasks. Then run the Palm's HotSync feature to synchronize with the information in Outlook. Similarly, use the Import Items From Outlook into TimeTo™ procedure, described in the Import Items help topic, to transfer appointments and tasks that originated on your Palm from Outlook to TimeTo™.
Note: You must have Microsoft Outlook installed (though you don't have to use it as your calendar) for this approach to work.
One-time setup for Windows Phone and Windows Mobile (PocketPC) devices: Install Microsoft Outlook. Configure your Sync Center (Windows 8, Windows 7, or Windows Vista) or Activesync (Windows XP or earlier) to synchronize with Microsoft Outlook.
As often as you wish: Use the Export Appointments to Outlook or Google Calendar and/or Export Tasks to Outlook procedure described above (or the real-time Outlook synchronization described in Synchronization Settings) to export your TimeTo™ appointments and/or tasks to Microsoft Outlook's Calendar and/or Tasks. Then run the Windows Mobile (PocketPC) device's Activesync (or Sync Center on your Windows Phone, Windows 8, Windows 7, or Windows Vista computer) to synchronize with the information in Outlook. Similarly, use the Import Items From Outlook into TimeTo™ procedure, described in the Import Items help topic, to transfer the appointments and tasks that originated on your Windows Mobile or Windows Mobile (PocketPC) device from Outlook to TimeTo™.
"A file error has occurred in Tab Separated Values (Windows) translator while initializing a translator to build a field map."
This message originates from Microsoft Outlook when you try to import
a file generated by TimeTo's Export Appointments To Outlook Or Google Calendar
command and there were zero appointments included in the file. You can
ignore the message, since it simply indicates that Outlook has imported
zero appointments when there were zero appointments to import.
